EARLY BIRD DISCOUNT: this will be applied to each online registration booking received up to Friday 20 November 2020 and will be applied on your invoice. The standard rate will apply after this date. 

PLEASE NOTE: All online registrations are acknowledged applications. They are subject to availability per sector and region and are subject to written confirmation from the organisers. Please note a reservation does not guarantee a place.

** The second delegate must be from the same property or company. Two different properties with the same brand name should select Option 3.

Your Registration Fee includes

  • Appointments schedule of minimum of 20 meetings. Where there are two delegates they will share one schedule
  • Accommodation. One room B&B per delegate for 2 nights of the forum dates at the host venue
  • Hospitality. All programmed drinks receptions, coffee breaks, lunches, dinners and entertainment
  • Afternoon programme
  • Digital directory entry. Category listings plus a full page profile for each company including delegate photo
  • Return airport transfers at forum destination

Directory Advertising Opportunity

A full page company profile and listings in the forum digital directory is included in your package. To book a full colour page advert in the Digital Delegate pack please select below. A separate invoice will be issued and will be due two months before the forum.

Terms and conditions

Data protection note: By entering your details requested in the registration form, and submitting your registration, you agree to allow the organisers to share your submitted information with participating delegates and sponsors. Distribution to delegates may be electronic or published. Your company name or logo may appear on the forum website and promotional material. Your contact details or business information will not be accessible except to registered delegates for The MEETINGS SPACE forums. This is a condition of attendance. Should you not agree to this for any reason please write to Supplier Team, The MEETINGS SPACE, 2 Wilmot Place, London, NW1 9JS at least six weeks prior to the forum date.

Coronavirus/COVID-19: The health and safety of our participants remain our priority at all times. To ensure our participants are protected wherever possible, The MEETINGS SPACE Ltd will ensure that all relevant risk analyses and health and safety precautions are agreed with and actioned by all partners involved, with reference to the prevalent advice and guidelines from both the UK events industry and relevant governments. A current detailed plan is available from the organisers on request.

  1. Payment Terms: on confirmation by the organisers you will be issued an invoice by email. 30% of the registration fee is due within 4 weeks of issue and the balance due by 23 July 2021 latest. Payment for bookings made less than 3 months out will be due 100% within 4 weeks of issue. Please note that if an early booking discount has been confirmed the discount will be forfeited unless all payments are received by the due dates.

  2. Travel insurance must be organised by delegates as it is not covered by the organisers. with regard to the current Covid-19 pandemic, it should be noted by all participants that The MEETINGS SPACE Ltd accepts no liability in respect of any illness arising in connection with Covid-19. Delegates must ensure that they are adequately insured for any and all consequential costs relating to the virus.

  3. Visas, vaccinations, testing and pre-travel documentation: before travel to the forum, delegates are responsible for checking and implementing any and all advice and requirements which are applicable to them for all relevant locations and which are current for the dates of the forum.

  4. Organiser cancellation policy and options: should the organiser cancel or postpone the live forum, either as a consequence of force majeure, or for any other reason, the organiser reserves the right to reschedule the live forum to a later date they consider appropriate for the sector.

    Virtual forum: should it prove necessary to cancel or postpone the live forum, a 2-day virtual format will run on Thursday & Friday of the original forum dates.

    As part of this contract, on cancellation or postponement of a forum, confirmed suppliers will automatically be allocated a place at the virtual forum. Each supplier must select from two options below regarding the balance of fees committed in their contract.

    Virtual forum supplier package:
    Fee: €950 per supplier delegate

    Number of meetings guaranteed: 12 minimum
    The MEETINGS SPACE guarantees to maintain the high quality of MICE buyers for which we are renowned, and to provide an innovative networking programme.

    Supplier options:

    - reconfirm your place at the 2-day virtual forum and receive a refund of your pre-paid balance, less the virtual forum fee of €950. The balance will be repaid within 4 weeks of cancellation or postponement of the live forum

    - reconfirm your place at the 2-day virtual forum and transfer your registration and pre-paid balance (less the virtual forum fee of €950) towards either the rescheduled dates or to another one of The MEETINGS SPACE forums in 2021. The terms and conditions of the contract will automatically transfer with this option.

    Note: the organiser shall not be liable for any consequential damages incurred due to either cancellation or rescheduling of the forum.

  5. Supplier cancellation policy: signature of the registration form commits you to 100% of the fees and to all terms and conditions, in the event of your booking registration being confirmed by the organisers.
    Force majeure applicable to live forums: should the confirmed supplier delegate be unable to travel to the live forum as a result of an official governmental restriction, (e.g. local or national lockdown, boarders shutdown) then on written verification, your company’s registration and any pre-paid fees, will exceptionally be transferred to a future forum of the delegate’s choice within the following 12 months. Subject to organiser approval and confirmation. The organiser shall not be liable for any consequential damages incurred due to the cancellation.

  6. Promotional materials: The MEETINGS SPACE plans to take photographs and video material during the forum and to reproduce them in event news or promotional material, whether in print, electronic or other media, including The MEETINGS SPACE website. By participating at the forum, you grant the organisers and its partnering suppliers the right to use your professional biography and any photography or video taken during the forum for promotional purposes. All postings become the property of The MEETINGS SPACE and may be displayed, distributed or used for such purpose.
